How to Organize a Filing Cabinet

Recently I was given a large 4 drawer filing cabinet. This worked out well, because
there are many new things I need to file.
I decided I would do an "overhaul" of my filing system. Someone volunteered
to do this for me. They volunteered to label and file the new folders. Since
I was busy, I decided to let them do it.
Big mistake! It never occurred to me that filing wasn't just a "natural" thing.
Apparently it isn't. I had to redo the whole filing cabinet. Nothing was
labeled correctly, and I couldn't find anything.
With that in mind, I decided I would print a few of the "basics" I have learned
over the years on how to organize a filing cabinet.
1- Use versatile dividers. If you use staggered folder labels,
your whole system will be thrown off by adding or removing a category. You are
better off having all the labels in alphabetical order and just front to back.
2- Organize your information putting similar categories together. For example,
if you have several folders for insurance you could label them like this:
Electricity
Gas
Sewer
Trash
Water
However, similar items will not be grouped together. You are always more
organized when you group similar items together. A better system is to put these
labels on them:
Insurance: Auto
Insurance: Health
Insurance: Home
Insurance: Life
Another example of what not to do:
Electricity
Gas
Sewer
Trash
Water
Compared to:
Utilities: Electricity
Utilities: Gas
Utilities: Sewer
Utilities: Trash
Utilities: Water
3- Finally, take the time to put paper clips or binders on the items in your
file
cabinet and keep them in chronological order. When it is time to clean out or
remove items, you will want it to be fast and easy.
A file cabinet is a great tool to keep many parts of your
life organized. Saving receipts, manuals and records can save you money and help
you
in other ways.As with all organization, it takes work to get things in place, but then it
makes
life easier.
Do it once, do it right, and forget about it.
